This Privacy Policy explains the types of personal information we may collect, why we collect it, how we use and store it, when it may be disclosed, and how you can contact us about your information.

We aim to collect only information that is reasonably necessary for our activities.

2. How We Collect Information

We may collect information:

  • through enrolment, registration or expression-of-interest forms;

  • through our website;

  • directly from parents, carers or students;

  • during tutoring or mentoring services;

  • through email, telephone, text message or other communications;

  • through our student management and record-keeping systems;

  • through assessments and tutor observations; and

  • from another person or organisation where authorised or where reasonably necessary and permitted by law.

For children and young people, information will generally be collected from or with the involvement of a parent or carer where appropriate.

3. Why We Collect and Use Personal Information

We may use personal information to:

  • enrol students and provide tutoring, mentoring and educational programs;

4. Information About Children and Young People

Future Focus Hub works with children and young people and recognises the importance of protecting their privacy.

We take reasonable steps to ensure that information about students is collected, accessed and used only where appropriate for their education, wellbeing, safety or the administration of our services.

Access to student information is limited to people who reasonably require that information to perform their role.

Tutors, mentors and other staff are expected to maintain appropriate confidentiality and comply with Future Focus Hub's policies and procedures concerning student information.

5. Health and Sensitive Information

In some circumstances, parents or carers may provide information about a student's health, disability, allergies, learning needs, neurodiversity or other circumstances relevant to their participation in our services.

We use this information only where reasonably necessary to support the student, provide our services safely, meet our responsibilities or for another purpose for which consent has been provided or use is otherwise permitted by law.

Please provide Future Focus Hub with relevant information that may be necessary for us to safely support your child.

6. Photographs, Videos and Media

Future Focus Hub may occasionally photograph or record activities for purposes such as program documentation, promotion, social media, our website or media opportunities.

We will seek appropriate consent before using identifiable photographs or recordings of students for promotional or public purposes.

Providing media consent is voluntary. A student's access to our tutoring or programs will not be affected simply because a parent or carer does not provide consent for promotional photographs or recordings.

7. How We Store and Protect Information

Future Focus Hub may store information electronically and, where necessary, in physical records.

We use third-party systems and service providers to assist with functions such as student management, document storage, website administration, communications and payment processing.

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

Access to student and family information is restricted according to operational need wherever reasonably practicable.

No electronic storage or transmission system can be guaranteed to be completely secure. If we become aware of a privacy or data security incident, we will take appropriate steps to respond to it and comply with any applicable notification requirements.

These providers may process or store personal information on our behalf.

Where reasonably practicable, Future Focus Hub selects reputable providers and limits the information provided to what is reasonably necessary for the relevant service.

Some service providers may store or process information outside Australia. The countries in which information is processed may vary depending on the provider and its systems.
